User Agreement is between you (the user) and Hajar Travels (UK) Ltd. Please take a few minutes to read these Terms & Conditions before using our website or making any bookings. These terms explain the rules that guide Hajar Travels (UK) Ltd.

By booking with Hajar Travels (UK) Ltd or using our website, you agree to these Terms & Conditions. If you do not agree, please do not proceed with any booking.

We reserve the right to update these terms at any time. The latest version published on our website will apply.

Website Information Disclaimer

All information on our website is provided in good faith. Flight schedules, hotel details, availability, and prices may change due to airline or supplier updates.

Customers must review all booking details carefully before confirming.

Booking Confirmation & Payments

  • A booking is confirmed only after deposit or full payment is received.
  • Standard deposit: 50% of total package price.
  • Deposits secure availability but not final pricing.
  • Full payment must be completed within the given deadline.
  • Prices are subject to availability at time of confirmation.

Flight & Ticket Policy

  • Flight prices are not guaranteed until tickets are issued.
  • Issued tickets are usually non-refundable and non-transferable.
  • Amendments, if permitted, are subject to airline penalties and fare differences.
  • We are not responsible for airline delays, schedule changes, or cancellations.
  • Passengers must reconfirm flights at least 72 hours before departure.

Hotel Accommodation Policy

  • Hotels are subject to availability at time of booking.
  • Saudi hotel star ratings may differ from UK standards.
  • Room size and layout may vary.
  • If a confirmed hotel becomes unavailable, we may provide a similar alternative of equal category and location.

Passport & Visa Responsibility

Travellers must:

  • Hold a passport valid for at least 6 months beyond travel date.
  • Meet all Saudi visa requirements.
  • Provide accurate documentation.

Required documents may include:

  • Passport copies
  • Passport-size photographs
  • Residence permits or biometric cards, if applicable

We are not responsible for visa refusals, delays, or immigration issues caused by incorrect documentation.

Baggage Allowance

Baggage limits are set by airlines. Passengers must check directly with the airline for updated allowance details. We are not responsible for excess baggage charges.

Cancellation & Refund Policy

  • Flight tickets are non-refundable once issued.
  • Changes depend on airline rules and charges.
  • Cancellation before ticket or hotel issuance: 50% of deposit retained as administration fee.
  • After issuance: refunds depend entirely on supplier policies.
  • Approved refunds are processed after deducting supplier and admin fees.

Hotel and transport services follow individual supplier cancellation policies.

Travel Insurance

We strongly advise all UK pilgrims to purchase comprehensive travel insurance covering:

  • Medical emergencies
  • Cancellations
  • Travel delays
  • Personal belongings

Insurance is the sole responsibility of the customer.

Health & Vaccination Requirements

All pilgrims must comply with Saudi health regulations.

For Hajj & Umrah:

  • Valid Meningococcal Meningitis vaccination certificate
  • Certificate issued 10 days to 3 years before arrival
  • Travelers must be medically fit to travel

Airport Check-In Guidelines

Recommended arrival times:

  • International flights: 3 hours before departure
  • European or domestic flights: 2 hours before departure

Late arrival may result in denied boarding, and we will not be liable.

Special Meal Requests

Special meal requests must be submitted in advance. Requests are forwarded to airlines but cannot be guaranteed.

Complaints Procedure

Any complaints must be submitted in writing within:

  • 21 days of the incident, or
  • 7 days after return from travel, whichever is earlier

ATOL Protection

Hajar Travels (UK) Ltd complies with ATOL regulations under the UK Civil Aviation Authority (CAA).

ATOL protection applies only to eligible bookings made and paid for within the UK. Where applicable, this will be clearly stated in your booking confirmation.

Governing Law

These Terms are governed by the laws of England and Wales.

Services provided in Saudi Arabia are subject to Saudi law. All pilgrims must respect local laws, customs, and religious practices.

Limitation of Liability

We are not liable for events beyond our control, including:

  • Natural disasters
  • Political unrest
  • Airline strikes
  • Technical failures
  • Force majeure events

Travelers are responsible for:

  • Personal belongings
  • Travel documents
  • Immigration compliance

Service standards in Saudi Arabia may differ from UK expectations.

Service Availability & Right to Refuse

All services are subject to availability. We reserve the right to refuse service or cancel bookings where necessary, offering reasonable alternatives where possible.

Privacy & Data Protection

We handle customer data in accordance with UK data protection regulations and our Privacy Policy.
